Keep photos with a borrowed equipment checklist

Take photographs before returning borrowed equipment, and keep a written checklist with them. Use the note to identify the loan and the items due back. The photographs give the lender a view of the equipment you have packed.

Work from the lender's component list, including the small accessories. Keep the item names consistent: if the list says "battery charger," use "battery charger" in your note. Ask the lender about anything unclear before you mark the set complete.

Arrange the equipment and loose components for an overview photograph. Add closer views where a connector or an existing mark is difficult to see. For example, a hypothetical camera loan might include a camera, lens cap, charger, and strap. If a serial number is needed to identify the equipment, keep it in the private loan record and leave it out of a public post.

Be specific about the checks you made. "Charger packed in the side pocket" records where it is. "Charger tested with this battery" records a test. A photograph of the charger alone cannot show that it works. Mark any action you have not checked as unchecked.

If you send smaller copies of the photographs, keep the originals and use filenames that you can match to the checklist. Open the exported copies to check that small labels and relevant marks are still visible. I work on Morphio and write about preparing and sharing images. Keep the equipment checklist alongside the files whichever image tool you use.

At the return, ask the lender to review the checklist. Note any disagreement while the equipment is still there to inspect. Keep the photographs and the return note together until the loan is settled.
